Tags and Team Notes

Participant tags

Tags allow you to classify participants for quick filtering, bulk actions, and analytics. A tag is a short text label that an organizer assigns to one or more participants.

You can create any tags that suit your needs.

How to add a tag to a participant

  1. Open the event -> "Participants" tab.
  2. Click on a participant row to open their card.
  3. In the "Tags" section, click "Add tag".
  4. Select an existing tag from the list or type the name of a new one.
  5. The tag is assigned instantly.

Bulk tag assignment

To add a tag to multiple participants at once:

  1. In the participant list, check the boxes for the desired participants.
  2. In the bulk actions panel, click "Add tag".
  3. Select a tag — it will be assigned to all selected participants.

Removing a tag

Open the participant card, find the tag in the "Tags" section, and click the X icon next to it. The tag will be removed from this participant. The tag itself remains available in the organization for other participants.

Filtering by tags

In the participant list, a "By tags" filter is available above the table. Select one or more tags — the list will show only participants with the selected labels.

The tag filter can be combined with other filters (by status, ticket type, date). This allows you, for example, to find all VIP participants with a paid registration.

Team notes

Notes are internal comments that team members leave on a participant's card. Notes are visible only to organizers and are not shown to the participant.

How to add a note

  1. Open the participant card.
  2. Scroll to the "Team notes" section.
  3. Enter the text and click "Save".

Each note is saved with the author (which team member wrote it) and the creation time.

When notes are useful

  • Agreements. "Approved a 20% discount personally with the director" — so a colleague is not surprised during review.
  • Special conditions. "Needs wheelchair access, arrive at the side entrance" — for the on-site team.
  • Moderation context. "Rejected: registration duplicates application #142" — to record the reason for the decision.
  • Warnings. "There was a conflict at the last event — pay attention during check-in" — for the operations team.

Notes in export

When exporting participants to CSV or XLSX, notes are included in a separate column. This allows you to work with complete data in external systems.

Frequently asked questions

Can participants see the tags and notes assigned to them?
No. Tags and notes are internal tools for the organizer's team. Participants do not see any tags or notes in their personal account or in notifications.
Are tags preserved during export?
Yes. When exporting participants to CSV or XLSX, tags are exported as a separate column. Team notes are also included in the export.
Can I use the same tags across different events?
Yes. Tags belong to the organization, not to a specific event. If you created a 'VIP' tag for one event, it will be available for your other events as well.
