Registration Moderation

When moderation is needed

Registration moderation is useful when the organizer wants to manually review participants before admitting them to an event:

  • Closed event with a limited guest list
  • Professional conference where participant profile matters
  • Event with limited capacity requiring selection
  • Event with special participant requirements (age, qualifications, organizational affiliation)

Enabling moderation

  1. Open the event -> "Registration" tab -> "Settings".
  2. Turn on the "Pre-moderation" toggle.
  3. Save the settings.

After enabling, all new registrations will go through the moderation stage. Already registered participants are not affected.

Where moderation fits in the status chain

Moderation comes after email verification (if enabled) and before payment (if the event is paid):

Moderation queue

How to find registrations pending moderation

Registrations awaiting a decision are available in two ways:

  • Event dashboard — an alert card with the number of registrations pending moderation is displayed above the KPI block. Click it to go to the queue.
  • Participant list — use the "Pending moderation" status filter to see only pending registrations.

Reviewing a registration

Click on a registration in the list to open the moderation panel with full details:

  • Participant's answers to all form fields
  • Selected ticket type and options
  • Participant's history (if they have registered for your events before)
  • Date and time of submission

Approval and rejection

Approval

Click "Approve" in the moderation panel. The registration will transition to the next status:

  • Paid event — status changes to pending_payment. The participant receives a notification with a payment link.
  • Free event — status changes to registered. The participant receives a registration confirmation.

Rejection

Click "Reject". A field for specifying the reason will appear. The reason is optional but recommended — the participant will see it in the notification.

After rejection, the registration transitions to rejected status.

Requesting additional information

If the registration data is insufficient to make a decision, click "Request information". The participant will receive an email asking them to provide additional details. The registration status remains in moderation.

Bulk moderation

When dealing with a high volume of registrations, use bulk actions:

  1. In the participant list, filter registrations by the "Pending moderation" status.
  2. Check the desired registrations (or click "Select all").
  3. In the bulk actions panel, click "Approve selected" or "Reject selected".
  4. Confirm the action in the dialog.

For bulk rejection, you can specify a common reason for all rejected registrations.

Auto-moderation rules

To speed up processing of routine registrations, you can set up automatic approval based on conditions:

  1. Open the event -> "Registration" -> "Settings" -> "Auto-moderation rules" section.
  2. Add a rule with a condition:
    • By email domain — automatically approve registrations from corporate addresses (e.g., @company.com)
    • By repeat participation — automatically approve participants who attended your previous events
    • By tag — automatically approve participants with a specific tag (e.g., "VIP")

Registrations that do not match any auto-rule go to the manual moderation queue.

Notifications

When moderation is enabled, the system sends notifications:

  • To the organizer — about each new registration pending moderation (configurable in event notification settings)
  • To the participant on submission — confirmation that the registration has been received with an explanation that it is under review
  • To the participant on approval — confirmation with a payment link (paid event) or registration confirmation (free event)
  • To the participant on rejection — notification with the reason, if one was provided

Frequently asked questions

Will the participant receive a notification upon approval or rejection?
Yes. Upon approval, the participant receives an email (and a Telegram message if they registered through the Mini App) with confirmation. Upon rejection, they receive a notification with the reason, if the organizer provided one.
Can I enable moderation for an event that is already active?
Yes. The toggle is available at any time. Already registered participants are not affected — moderation applies only to new registrations.
What happens to registrations pending moderation if I disable moderation?
All registrations in 'Pending moderation' status will be automatically approved and transition to the next status (for a paid event — 'Pending payment', for a free event — 'Registered').
