What is a participant profile

A participant profile is a unified record of a person that consolidates all their registrations for your organization's events. Instead of seeing anonymous individual registrations each time, the organizer gets a full picture: how many times the person participated, which tickets they purchased, and the total payment amount.

Deduplication

tikento automatically determines that different registrations belong to the same person. The system uses three identifiers for matching.

By email

The primary identifier. If a participant provides the same email when registering for a new event, the system links the registration to an existing profile.

By phone

If the email is different but the phone number matches a known one, the system will suggest merging the profiles.

By Telegram

When a participant registers through the Telegram Mini App, their Telegram ID serves as an additional identifier. This allows linking registrations even if the participant used different email addresses.

Matching priority

The system checks identifiers in this order: email -> Telegram ID -> phone. A match on any of them links the registration to an existing profile.

Participant history

The profile contains the full history of a participant's interactions with your organization:

  • Registrations — a list of all events with dates, statuses, and ticket types
  • Payments — total amount, number of payments, methods used
  • Check-in — attendance statistics (how many times they showed up out of registered events)
  • First contact — date of the first registration
  • Last activity — date of the most recent registration or check-in

The participant profile is accessible from the participant list of any event. Click on a participant's name to open their card.

What the card shows

  • Contact information — email, phone, Telegram (if linked)
  • Registrations — a table of all registrations across your events
  • Tags — assigned labels (VIP, speaker, press, etc.)
  • Team notes — internal comments not visible to the participant
  • Actions — send a message, add a tag, export data

From the profile card, you can navigate to a specific registration for any event without leaving the participant context. This is convenient when you need to check payment history or form responses.

Manual profile merging

If automatic deduplication did not work (for example, the participant used a different email and did not provide a phone number), the organizer can merge profiles manually:

  1. Open the card of one of the profiles.
  2. Click "Merge with another profile".
  3. Find the second profile via search.
  4. Confirm the merge.

After merging, registration, payment, and check-in histories are combined. Both email addresses are preserved in the profile. This operation is irreversible.

Data isolation

Participant profiles are isolated within a single organization (tenant). If the same person registers for events of different organizations, each organization will have its own independent profile. Data does not cross between organizations.

Frequently asked questions

Can one person have multiple profiles?
Yes, if they registered with different email addresses. The system merges profiles automatically when a phone number or Telegram account matches. Manual merging is available to the organizer via the participant card.
Can a participant see their own profile?
A participant can see their registration history in their personal account or in the Telegram Mini App. The full profile card with notes and tags is only visible to the organizer.
Does deduplication work across different organizations?
No. Data is fully isolated between tenants (organizations). Deduplication only works within a single organization.
